CareTutor Referral Programme

Know another care provider or organisation that could benefit from CareTutor? 

Introduce them to us and, if they become a qualifying CareTutor customer, you can receive a referral reward worth up to £1,000.  

 

How it works 

  • Introduce a new organisation to CareTutor using our referral form, referral link or by making a direct introduction to the CareTutor team. 
  • CareTutor will confirm whether the referral is eligible. 
  • We will contact the referred organisation to discuss their requirements. 
  • The referred organisation purchases a qualifying CareTutor subscription. 
  • Once the referred organisation has completed three full months as a paying CareTutor customer and all payments due during that period have been received, your referral reward becomes eligible. 
  • We will normally issue the reward within 30 days of the qualifying period being completed. 

 

When your referral becomes a qualifying customer, you can choose from the following rewards: 

  • Receive your reward as a gift voucher (Amazon or John Lewis) 
  • Apply the reward as credit to your organisation’s CareTutor account 

 

Referral rewards 

Rewards are based on the Annual Contract Value (ACV) of the referred organisation’s qualifying CareTutor subscription.

Details  

For the purposes of the Referral Programme, Annual Contract Value (ACV) means the annualised net subscription fees payable to CareTutor, excluding VAT, implementation fees, consultancy, one-off services, discounts, credits and other non-recurring charges. 

Where a subscription term is longer than 12 months, the total subscription value will be annualised for the purpose of calculating the referral reward. 

Choose how to use your reward 

Once your referral qualifies, you can normally choose one of the following options. 

1. Personal reward 

Receive the full referral reward as an eligible gift voucher, currently including: 

  • Amazon Gift Card 
  • John Lewis Gift Card 

Other reward options may be offered from time to time. 

2. CareTutor account credit

Apply the full value of the reward as credit to your organisation’s CareTutor account. 

The credit can normally be used towards a subscription renewal, additional licences or other eligible CareTutor subscription services. 

 

Terms and Conditions 

  1. Eligibility of the referrer

The referrer must normally be an existing CareTutor customer with an active paid subscription at the time the referral is made. 

CareTutor may also accept referrals from other organisations or individuals at its discretion.

 

  1. Eligible new customers

The referred organisation must be a genuine new customer to CareTutor. 

A referral will not normally qualify where the organisation: 

  • is currently a CareTutor customer; 
  • has been a CareTutor customer within the previous 24 months; 
  • is already engaged in an active CareTutor sales process; 
  • has already requested or received a substantive proposal, quotation or demonstration from CareTutor; 
  • has already been introduced to CareTutor by another party; or 
  • is otherwise recorded by CareTutor as an existing active sales opportunity. 

CareTutor will determine eligibility based on its CRM and other business records. 

 

  1. Referrals must be registered in advance

A referral must be registered with CareTutor before the referred organisation becomes a customer and, normally, before substantive sales discussions between CareTutor and the referred organisation have commenced. 

Retrospective referral claims will not normally be accepted. 

CareTutor may make exceptions at its discretion where there is clear evidence that the referrer was directly responsible for the introduction. 

 

  1. What constitutes a referral

A qualifying referral must involve a genuine introduction or recommendation. 

Where possible, the referrer should either: 

  • make a direct introduction between the prospect and CareTutor; 
  • ask the prospect to contact CareTutor using the referrer’s referral link or code; or 
  • confirm that the prospect is happy for CareTutor to contact them. 

Submitting details for an organisation with which the referrer has no genuine relationship will not normally qualify. 

 

  1. Qualifying subscriptions

The referred organisation must purchase a qualifying CareTutor subscription with a minimum initial term of 12 months. 

Qualifying subscriptions currently include: 

  • CareTutor Foundation; 
  • Pathway Essentials; and 
  • Pathway Pro. 

The Referral Programme does not apply to one-off course purchases, consultancy services, implementation-only services or other non-subscription products unless CareTutor confirms otherwise in writing. 

CareTutor may add or remove qualifying products from the programme from time to time. 

 

  1. Minimumcontract value 

The minimum Annual Contract Value required to qualify for a referral reward is £500 excluding VAT. 

 

  1. Qualifying period

The referred organisation must complete three full months as a paying CareTutor customer before the referral reward becomes payable. 

At the end of the qualifying period: 

  • all invoices falling due must have been paid; and 
  • the customer’s subscription must remain active. 

Where payment is overdue, the referral reward may be delayed until the customer’s account is up to date. 

 

  1. Cancellation or non-payment

No referral reward will be payable where, before completion of the qualifying period, the referred customer: 

  • cancels the subscription; 
  • exercises a contractual right to terminate; 
  • fails to pay amounts due; 
  • enters insolvency or a formal restructuring process; or 
  • otherwise ceases to be a qualifying paying customer. 

CareTutor may withhold or cancel a reward where a subscription was entered into fraudulently or primarily for the purpose of obtaining a referral reward. 

 

  1. Multiple referrals

If more than one person or organisation refers the same prospective customer, the referral reward will normally be attributed to the first qualifying referral recorded by CareTutor. 

CareTutor’s records will be used to determine which referral was received first. 

 

  1. Self-referrals and connected organisations

Self-referrals are not permitted. 

A person may not refer: 

  • their own organisation; 
  • an organisation they own or control; 
  • another entity within the same corporate group; or 
  • an organisation created or restructured primarily to obtain a referral reward. 

CareTutor may approve referrals between genuinely independent associated organisations at its discretion. 

 

  1. Employees,managersand personal rewards 

If the referrer is an employee, manager, officer or representative of an organisation, they are responsible for ensuring that they are permitted to participate in the Referral Programme and to receive any personal reward. 

The referrer should check any relevant employer policies concerning: 

  • gifts and hospitality; 
  • conflicts of interest; 
  • procurement; 
  • incentives; and 
  • anti-bribery and anti-corruption. 

CareTutor may require confirmation that the referrer is permitted to receive a personal reward. 

Where a personal reward would be inappropriate or contrary to an organisation’s policies, CareTutor may instead issue the reward as CareTutor account credit or agree another appropriate arrangement. 

 

  1. Public sector organisations

Personal rewards will not normally be issued to employees, officers or representatives of local authorities, NHS organisations, government departments or other public sector bodies. 

Any referral involving a public sector organisation may be subject to additional approval by CareTutor and must comply with the policies of the relevant organisation. 

CareTutor may instead offer an organisational credit where appropriate and permissible. 

 

  1. No influence over purchasing decisions

Referral rewards are intended to recognise genuine introductions and recommendations. 

They must not be offered, requested or accepted in circumstances where doing so would improperly influence a purchasing, procurement or other business decision. 

CareTutor reserves the right to reject any referral where it considers that issuing a reward could create an inappropriate conflict of interest or compliance concern. 

 

  1. Referrer responsibilities

A referrer must not: 

  • represent themselves as an employee, agent or authorised representative of CareTutor; 
  • make contractual commitments on CareTutor’s behalf; 
  • make representations, promises or warranties about CareTutor that have not been authorised by CareTutor; 
  • offer unauthorised pricing, discounts or commercial terms; 
  • use misleading, unlawful or inappropriate promotional methods; or 
  • send unsolicited marketing communications on CareTutor’s behalf. 

Participation in the Referral Programme does not create an agency, employment, partnership, joint venture or similar relationship between CareTutor and the referrer. 

 

  1. Privacy and introductions

Referrers should only provide personal contact details to CareTutor where they have a legitimate reason to do so and, where appropriate, the individual concerned is aware that their details are being shared. 

CareTutor encourages referrers to make direct introductions wherever practical. 

Any personal information received by CareTutor will be processed in accordance with CareTutor’s Privacy Policy and applicable data protection legislation. 

 

  1. Reward payment

Once a referral has qualified, CareTutor will normally issue the applicable reward within 30 days. 

Gift vouchers will normally be sent electronically. 

CareTutor account credits will be applied in accordance with any instructions issued by CareTutor. 

Rewards: 

  • have no cash redemption value unless CareTutor expressly agrees otherwise; 
  • cannot normally be transferred after they have been issued; and 
  • cannot be exchanged retrospectively for a different reward option. 
  1. Verification

CareTutor reserves the right to verify all referrals before issuing rewards. 

CareTutor may request reasonable information to confirm: 

  • the identity of the referrer; 
  • the relationship between the referrer and the referred organisation; 
  • the circumstances of the introduction; 
  • eligibility to receive a personal reward; and 
  • compliance with these terms. 
  1. Abuse of the programme

CareTutor may refuse, cancel or recover a referral reward where it reasonably believes there has been: 

  • fraud; 
  • misuse of the programme; 
  • duplicate or fabricated referrals; 
  • collusion; 
  • deliberate misrepresentation; 
  • artificial restructuring of a customer or contract; 
  • circumvention of these terms; or 
  • other conduct inconsistent with the purpose of the Referral Programme. 
  1. Discretion

CareTutor’s decision regarding eligibility for referral rewards, interpretation of the programme rules and allocation of rewards will be final, acting reasonably.

 

  1. Changes to the Referral Programme

CareTutor reserves the right to amend, suspend or withdraw the Referral Programme at any time. 

Any qualifying referral already accepted by CareTutor before the programme is amended or withdrawn will normally continue to be honoured under the terms in force when the referral was accepted. 

 

  1. Governing law

These terms and the CareTutor Referral Programme are governed by the laws of England and Wales. 

Any dispute arising in connection with the programme will be subject to the jurisdiction of the courts of England and Wales.
